Guest Policy

Thank you for choosing to stay with us at Gold Brook Farm. If there is anything, we can do to make your stay more enjoyable, please let us know, and we will be happy to accommodate.   On this website you will find helpful information about our guest accommodations, the family farm we own and operate and our policies and commitments to you, our guests.  We intend to provide an enjoyable experience and relaxing accommodations for all our guests and will make all reasonable efforts to accommodate your unique needs and interests.  Please don’t hesitate to contact us directly with and questions or to discuss specific interests.

Contact Information

As we are a small family run B&B and working farm, we may not be immediately accessible at all hours.  We have staff on premises whenever guests are present and look forward to greeting new arrivals between 3:00 and 10:00 PM on the day of your arrival.  If you will be arriving outside of these hours, please alert us to your planned arrival time in advance so that we can arrange to greet you upon arrival.  In case of an urgent situation after hours, please call 1-716 581-2610. In an effort provide a relaxing setting for all our guests, we request you have a respectful noise level after 10pm.

Reservations

Reservations can be made on-line using the booking calendar or by calling 1 716-581-2610.

A confirmation email will be sent to the email address you provide at the time of booking.

You can book your reservation using a credit card (MC/Visa/Discover/AmExpress), Venmo, PayPal or personal check.  All reservations made on-line need to have a PayPal or Venmo or valid Credit Card at time of reservation. At the time a reservation is made the valid Credit Card presented to Gold Brook Farm is authorized to be used for the intended reservation, cancellation policy or for any damages accrued at the time of stay. Also, any and all incidentals also will be charged to this Credit Card.

If reserving by check, a 100% deposit must be received not later than two weeks prior to your planned arrival.

Reservation cancellation must be received and acknowledged by Gold Brook Farm hosts in writing (email or text).

Cancellations received more than 14 days prior to reservation date are accepted without penalty.

Cancellations within 14 to 3 days of scheduled arrival will be assessed a $50 cancellation fee per room.

Cancellations within 3 days of scheduled arrival will be assessed a $100 cancellation fee per room.

Early departures or no-shows require full payment for the booked reservation.  Failing to call or show before check-out time after the first night of a reservation will result in cancellation of the remainder of your reservation.

Gold Brook Farm does not issue refunds at any point. Should you cancel your reservation on the date of scheduled arrival or choose to leave prior to original departure date you will be charged and not refunded. In emergency situations a credit may be issued for a return stay, however no refund will be given.

 

Extending your stay:  We will accommodate extension request to the fullest practicable and at Gold Brook Farms sole discretion.

We have no accommodations for pets but we may be able to assist with local boarding services if you notify us well in advance.

Gold Brook Farm is a non-smoking property.  NY State law prohibits smoking in public eating establishments.  Further, our historic home has withstood many perils over the years – we have no intention of risking a fire.

 

Scheduling your stay

Check-in is 3:00 to 7:00 PM.  If your travel plans have you arriving outside of the normal arrival timeframe, please contact us in advance to make appropriate arrangements.  Out of respect for other guests, we ask that you plan your arrival not later than10:30 PM.

Check-out time is 11:30 AM.

Breakfast is served daily between 8:00 and 10:30 AM.

 

Guest Payment Agreement
You agree that you will make only legitimate reservations in good faith for use by you, and not for other purposes, including without limitation, reselling, impermissibly assigning or posting on third party websites, or making speculative, false or fraudulent reservations, or any reservation in anticipation of demand. All reservations are final.

Gold Brook Farm reserves the right to cancel any reservation for non-payment of the initial deposit for group bookings, invalid credit card information, or suspect fraudulent activity. Should Gold Brook Farm experience any difficulty with maintaining your room reservation, we will provide proper notice (greater than 2 weeks) and assist in locating alternate accommodations.

By making a reservation with Gold Brook Farm, and releasing your name, address, telephone number, email address, and credit card information, you are entering into a binding legal agreement to be charged the full amount of your reservation. Releasing your name, address, telephone number, email address, and credit card information is creating a digital signature for that reservation, therefore making the phone or online reservation a legal binding agreement to be charged the full amount of that said reservation. You agree by checking the above “I acknowledge reading the Cancellation Policy and I agree to pay according to the terms stated” box you are entering into an agreement with Gold Brook Farm to be charged the full amount of your reservation.

Rates

Rates are seasonal and are published on our on-line reservation system.

Rates are based on double occupancy and include a full breakfast.

We may be able to accommodate a third person in guest rooms but only if you notify us in advance at the time you make your reservation.  A third person fee of $35/night will apply.

State and County sales tax of 8% and Chautauqua County Hotel Tax of 5% apply to published rates. The sales and hotel taxes are not included in the published rate.

 

Fire Safety Plan

In the event of fire, please exit the building via the closest available exit.  A floorplan depicting exits is posted in the main foyer.  Locations of fire extinguishers is also indicated on the floorplan.  An integrated fire alarm system is installed throughout the house.  If you hear the alarm, please do not await further instruction and leave the premises via the nearest exit.  Please assemble behind the house in the vehicle parking area. Do Not leave the property until/unless you confirm your whereabouts with Gold Brook Farm staff.

In the event of a fire please practice the “RACE” life safety best practices:

Rescue and Remove – All persons in immediate danger. Please assist children, elderly and those in need of special care. Do not return to room after all people are out safely.

Alert and Activate –  Call 911 and alert staff immediately and continue evacuation noting room all doors are exit doors.

Confine – Confine the fire by closing all doors to rooms

Extinguish – Fire extinguishers are in red boxes at each corner area of Inn.

House Keeping and Environmental Stewardship

Gold Brook Farm works to reduce water usage and waste on our precious environment. As part of this our staff will service your room every day between the hours of 9am and 3pm, unless otherwise noted by a Do-Not-Disturb sign. Our housekeeping policy is to change bed linens every three days and at end of stay. If you would like your bed linens changed sooner please place the card provided on the night stand on your bed. Bath towels are changed daily.  If you would like to re-use your towels please place them on the hook, all towels on the floor will be changed.

Gold Brook Farm is a no-smoking private residence accommodation.  There is a $250-dollar cleaning charge for in room smoking.

Pet Policy

Unfortunately, we do not offer Pet-Friendly Accommodations.  We may be able to arrange third-party boarding with sufficient prior notice.

Parking Policy   

Guests are invited to park on the premises at Gold Brook Farm.  Outdoor parking is available for privately-owned sedans, SUV’s, pick-ups and sport utility vehicles.  If you will be towing a trailer, camper, or driving a Recreational Vehicle or larger vehicle, please contact us in advance of your arrival to ensure availability of off-street parking.  We have substantial parking capacity on the farm but weather conditions (Snow) and farm activity may determine where and how we accommodate larger vehicles.
